Summary
We are seeking a highly organized and proactive Associate to support in Finance & HR as well as providing back-up and support for the Admin Team. This role is essential to the smooth operation of our organization, providing direct support to the Finance & HR Director, as well as being an active member of the Admin Team. The ideal candidate will bring strong finance and HR expertise, an understanding of the nonprofit sector, and a genuine commitment to our mission.
In this position, you will:
Assist the Finance & HR Director with human resources functions (including benefits administration, file management, recruiting support, and employee onboarding), as well as financial responsibilities ranging from A/P entry, recordkeeping and reconciliation support to oversight of private pay billing.
The successful candidate will be able to work independently with a high degree of precision, be highly organized, and be comfortable balancing multiple priorities in a fast-paced environment. Essential Duties and Responsibilities
- Coordinate employee onboarding and offboarding processes.
- Assist with recruiting, including posting job openings and screening resumes.
- Administer employee benefits, including enrollment, terminations, and mid-year changes.
- Maintain and update employee records, ensuring compliance with agency policies and legal requirements.
- Manage and report on private pay billing for monthly close.
- Provide administrative support to the Admin Team including coverage of Reception Desk
- Prepare materials for the Board of Directors, maintain board files, attend meetings, and record minutes.
- Conduct research and compile data for special projects as assigned.
- Organize and maintain office files, documents, and systems.
Additional Duties and Responsibilities
- Transportation support – assist participants in getting to and on buses if needed.
- Support other departments as necessary.
- Assist with walking or pushing participants to classes if needed.
- Comply with all Ability Now Bay Area policies and procedures as outlined in the Employee Handbook.
- Perform other duties as assigned.
Requirements
- Proven experience in a Finance position with at least familiarity in HR processes.
- Strong project management skills, with the ability to manage complex projects from start to finish.
- Exceptional organizational and multitasking abilities, with strong prioritization skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with accounting software, QuickBooks strongly preferred.
- Strong time management skills and ability to work independently.
- Passion for community service and commitment to the mission of the organization; experience with the IDD community preferred.
Education and Experience
- Bachelor’s degree in a related field; or
- Associates degree in related field, plus at least two years directly applicable work experience; or
- 5+ years of directly applicable work experience.
