Summary

The Facility Specialist is responsible for maintaining a safe, clean, functional, and compliant environment for staff, participants, visitors, and vendors. This position performs routine facility maintenance, repairs, and inspections, and coordinates facility-related services to ensure the organization’s buildings, grounds, equipment, and systems remain in excellent working condition.

Essential Duties and Responsibilities

Facility Maintenance

  • Perform routine maintenance and minor repairs on building systems, equipment, furniture, fixtures, and grounds.
  • Conduct regular facility inspections to identify maintenance, safety, and operational concerns.
  • Respond promptly to maintenance requests and work orders.
  • Perform basic plumbing, electrical, carpentry, painting, and general repair tasks within the scope of training.
  • Assist with preventative maintenance programs for facility equipment and systems.

Safety and Compliance

  • Maintain compliance with applicable safety regulations, fire codes, OSHA requirements, and organizational policies.
  • Conduct routine safety inspections and report hazards immediately.
  • Ensure emergency exits, pathways, and safety equipment remain accessible and operational.
  • Assist with emergency preparedness activities, drills, and facility safety initiatives.

Grounds and Building Care

  • Monitor and maintain exterior grounds, parking lots, walkways, and common areas.
  • Coordinate landscaping, waste removal, pest control, and other contracted services.
  • Assist with facility setup and breakdown for meetings, trainings, and special events.
  • Monitor building cleanliness and coordinate with janitorial services as needed.

Vendor and Contractor Coordination

  • Assist in scheduling and monitoring outside contractors and service providers.
  • Escort vendors and contractors when necessary.
  • Verify completion of contracted work and report management concerns.
  • Maintain records of maintenance activities, inspections, and service calls.

Inventory and Equipment Management

  • Maintain inventory of maintenance supplies, tools, and equipment.
  • Recommend purchases and replacements as needed.
  • Track warranties, service schedules, and equipment maintenance records.
  • Assist with receiving and assembling furniture, equipment, and facility-related purchases.

Transportation and Support Services

  • Assist with vehicle inspections and maintenance scheduling, if applicable.
  • Support facility improvement projects and renovations.
  • Provide general operational support to departments as needed.

Technology Support

  • Provide first-level technical support for technology issues, including computers, laptops, tablets, printers, phones, and peripherals.

Qualifications

Education and Experience

  • High school diploma or GED required.
  • Minimum of 2 years of facility maintenance, building operations, or related experience preferred.
  • Experience working in nonprofit, healthcare, educational, technology support, or community-based environments preferred.

Knowledge, Skills, and Abilities

  • Knowledge of basic building maintenance practices and repair techniques.
  • Ability to use hand tools, power tools, and maintenance equipment safely.
  • Strong problem-solving and organizational skills.
  • Ability to prioritize multiple tasks and respond to urgent maintenance needs.
  • Effective communication and customer service skills.
  • Ability to maintain accurate records and documentation.
  • Basic computer skills, including Microsoft Office and email.

Physical Requirements

  • Ability to lift, carry, push, and pull up to 50 pounds.
  • Ability to stand, walk, bend, kneel, climb ladders, and perform physical labor for extended periods.
  • Ability to work indoors and outdoors in varying weather conditions.
  • Ability to safely operate maintenance equipment and tools.

Certifications and Requirements

  • Valid California Driver’s License and acceptable driving record.
  • CPR/First Aid certification preferred or ability to obtain within designated timeframe.
  • Successful completion of background clearance requirements.
  • Ability to comply with all ANBA policies, procedures, and safety requirements.

Work Environment

The Facility Specialist works in an adult day program environment serving individuals with developmental disabilities. The position may involve interaction with participants, staff, vendors, and visitors and requires maintaining a safe, respectful, and inclusive environment at all times.
